ChxItOut is currently available for Android OS 13+ phones, with some phones offering additional features.

 

 

Choosing the right phone

NFC not required but highly recommended

Internet Connectivity (WiFi / 4G / 5G)

We recommend the “Samsung A15 5G” as a low cost, but full featured device.
Step 1   Creating & Activating a Session
Step 1 - Creating & Activating a Session

A session is a 24-hour period during which an event occurs. It creates a start/end point for tracking the equipment and providing statistical information.

 

 

Setting up a session

From Phone 1: Menu > Set Session

Create Session > Add Name & Date

Save > Activate

Look at the bottom of the screen and verify the session is active

There is an unlimited number of phones that you can use to check in/out equipment. The phones MUST use the same session for this to work.

Menu > Set Session

“Current” Tab > Tap the session name OR…

Tap the QR icon and scan another phone’s session QR code

Look at the bottom of the screen and verify the session is active

There are several different options that you can enable/disable. These settings DO NOT synchronize across phones. Each phone needs to be set with the options that you would like.

These are the steps to take information from someone, assign equipment, and take a from of collateral (ID/Payment/Picture) in exchange, and sign the rental agreement.

 

 

Assigning equipment to a person

Collect their information (note: in the settings, you can specify which fields are required)

Tap the NFC on the equipment, scan, or manually type in the serial number. Repeat this action to assign multiple items.

Collect their collateral:
Credit Card: Tap their phone or NFC Credit Card to the bank of the phone
Photo of ID/Card/Face: Tap “ID Verified.” (Note: In settings you can enable front & bank images)

Signature > Done

When a person is done using the equipment quickly return it back in so someone else may use it. There's two ways "Quick" and "Return Mode"

 

 

Checking in / Returning

Quick Return: Used while the event is active
Register Screen: Bottom select Scan, Manual, NFC button
Note: NFC only listens for 20 seconds

Return Mode: Used at the end of the event

Return Mode: NFC is always active, tap headphones to return

At an event if someone has an issue with their headphone they do not need to go through the entire process of checking in and then out again. This one button does it all and also notes why there was a swap to fix for the future.

 

 

Quick Swap (Replacing Equipment)

Requirement: Active Session & Equipment already checked out

Register Page > Bottom Left Icon

Tap the OLD/RETURNED equipment. If there is no NFC, scan or manually enter the serial number.

Tap the NEW/REPLACEMENT equipment. If there is no NFC, scan or manually enter the serial number.
Setting: You are able to require that why it was returned is filled out

Attendees receive a customize link they can pre-fill in all the information such as phone, email and credit card so they dont need to manual do it slowing down the line.

 

 

Express Check-in

Menu > Express Checkin

Display QR code to attendees. Pro tip: Print this QR code and place at the registration desk

The client completes the information on their phone.

Registration page: Click the QR code next to “email/phone” and scan their QR code.
Break Fix / Issue reporting

Record issues with equipment as they happen so that the equipment can be assigned and fixed or disposed of.

 

 

Setting up a session

Menu > Manage Issues

New Issue > Tap/Scan/Type serial number

Click “–Select one–” to choose the issue
